Job description

We are seeking an APS3 Administration Support Officer for a Federal Government department at their Jervis Bay location for a 3 month contract with a possible extension.

The Department has overall responsibility for the provision of a range of local and state government-type services. Some of these services are provided directly by the Jervis Bay Territory Operations Team, located in Jervis Bay Village, but others are carried out under arrangements with ACT government agencies, NSW government agencies, Shoalhaven City Council and commercial contractors.

The APS3 Administration Support Officer will report to the Assistant Director, JBTO and work closely with the Finance, Contracts and Stakeholder Engagement Officers of the JBTO team. The role’s primary task is to undertake administrative functions in support of the team and our stakeholders.

The Admin Officer’s duties include:
  • Administration oversight of file management, document control and updating Standard Operating Procedures
  • Assist with counter enquiries & phones
  • Point of contact for registry – keys, security cards, visitor passes, equipment
  • Monitoring and managing of mailing distribution lists
  • Complete audit of office registers; keys, security cards, padlock & dog registrations
  • Providing other ad hoc general administrative duties
  • Discreet project(s) to digitise paper maps and audit of files held by previous incumbents in the JBTO
Ideally, the successful candidate will have;
  • A good understanding of First Nation Peoples cultures and protocols in a practical sense as they relate to culture, perspective and interests of First Nation People of Australia
  • Strong administrative skills, including Microsoft Office with high attention to detail
  • Ability to plan and organise own work to achieve results in line with competing deadlines
  • Ability to work with diverse customers, stakeholders and service providers
  • Adept in utilising a range of communication strategies to support diverse customers and stakeholders
  • Motivated self-starter who is comfortable to work independently and or as part of a team
  • Ability to work at high tempo for short periods and complete tasks on short notice.
 
The applicant will be adaptable, strong in their time management and prioritisation skills and be able to get across different operating environments quickly.
Demonstrated experience in similar roles would be advantageous.
