The Opportunity
An exciting opportunity is available for a detail-oriented Data Administrator to join a well‑established organisation based in Melbourne CBD. This role plays a critical part in maintaining the accuracy, integrity and reliability of organisational data across multiple systems. Reporting to the Head of Platforms and Security, you will work closely with internal stakeholders to support operational efficiency through high‑quality data entry, validation, maintenance and governance-aligned practices. This is an immediate start role, with handover provided on site.
About the Role
The Data Administrator is responsible for the day‑to‑day administration of data across nominated systems, entering data across multiple systems, ensuring records are accurate, complete, consistent and compliant. You will support data quality initiatives, assist with reconciliations and audits, and provide trusted administrative support that enables effective reporting and decision‑making.

Key Responsibilities
Data Administration & Maintenance
- Create, update and maintain records across multiple systems, including legacy platforms
- Perform high‑volume, high‑accuracy data entry, ensuring mandatory fields and documentation are complete
- Maintain master data such as customer/client records, supplier details, user access lists and case files
- Apply naming conventions, formatting standards and data definitions consistently
- Conduct routine data quality checks to identify duplicates, errors and incomplete records
- Investigate and resolve data discrepancies in collaboration with stakeholders
- Perform reconciliations between systems and source documents
- Maintain logs of data issues, actions and outcomes
- Assist with compiling and validating data for operational and periodic reporting
- Extract and prepare datasets from systems and spreadsheets
- Identify and escalate reporting discrepancies
- Maintain data-related procedures, work instructions and reference guides
- Assist with data definitions, dictionaries and process mapping
- Identify opportunities to improve data capture and reduce manual rework
- Act as a point of contact for day‑to‑day data queries
- Provide guidance on correct data entry practices
- Ensure compliance with privacy, governance and information security requirements
- Support internal and external audits as required
Essential
- Demonstrated experience in an Data Administrative IT role requiring high‑volume, high‑accuracy data entry
- Strong attention to detail with a commitment to data integrity
- Proficient in Microsoft Excel (sorting, filtering, basic formulas, data validation)
- Experience working with databases and enterprise systems
- Ability to manage competing priorities and meet deadlines
- Clear written and verbal communication skills
- Exposure to data governance or data quality frameworks
- Experience working in regulated or compliance‑driven environments
- Basic familiarity with reporting tools such as Power BI or Tableau
- Experience or exposure to SFTP, Debtcol, Python or SQL
- IT Degree
- Immediate start with on‑site handover possible Temp - Perm
