Service Operations Specialist | Spare Parts & Logistics
12-Month Ongoing Assignment

Are you an experienced operations professional with strong ERP systems knowledge, advanced Excel skills, and a passion for delivering exceptional customer service? We are seeking a highly organised and proactive Service Spare Parts Operations Specialist to join a busy and supportive team, managing service operations, spare parts coordination, logistics, invoicing and reporting activities.

In this role, you'll be responsible for coordinating spare parts orders from receipt through to delivery, ensuring customers and service engineers have the parts they need to keep critical equipment operational. You'll work closely with supply chain, warehouse, and service teams to manage priorities, resolve order issues, and deliver an outstanding customer experience.

This is an excellent opportunity to secure a 12-month ongoing assignment with a well-established global organisation.

Key Responsibilities
  • Manage the end-to-end spare parts function, including order processing, fulfilment, backorder management, and coordination of urgent parts requirements.
  • Prioritise and expedite spare parts delivery for critical customers and field service teams to minimise equipment downtime.
  • Monitor parts availability, ageing orders, and backorders, proactively resolving supply issues and communicating ETAs to customers and technicians.
  • Liaise with supply chain, procurement, warehousing, distribution, and service teams to ensure timely fulfilment of customer demand.
  • Support business performance through effective inventory coordination, order management, and continuous improvement of spare parts processes.
  • Act as the primary point of contact for service-related customer enquiries
  • Coordinate technician scheduling, service bookings and work order management
  • Liaise with customers, field technicians, warehousing, supply chain and finance teams
  • Process customer invoicing and billing activities accurately and efficiently
  • Develop and maintain operational reports to support business performance
  • Investigate discrepancies relating to orders, inventory, invoicing and service delivery
  • Maintain accurate records across multiple ERP and CRM platforms
  • Support process improvement initiatives and operational projects
  • Undertake additional administrative and operational support duties as required
About You

To be successful, you will possess:
  • Advanced Microsoft Excel skills including Pivot Tables, VLOOKUP/XLOOKUP, reporting and data analysis
  • Experience using Oracle JD Edwards (JDE) and SAP
  • Strong invoicing, billing and reconciliation experience
  • Proven reporting and analytical capabilities
  • An investigative mindset with the ability to identify and resolve issues quickly
  • Experience within service operations, logistics, supply chain, customer service or order management environments
  • Exceptional attention to detail and organisational skills
  • Strong stakeholder engagement and communication skills
  • The ability to manage competing priorities in a fast-paced environment
Desired Experience
  • Service operations or customer support experience
  • Logistics, supply chain or spare parts coordination exposure
  • ERP systems expertise and data management experience
  • Continuous improvement and process optimisation focus
  • Ability to work autonomously while contributing positively to a team environment
  • Degree in Scientific, logistic or health desirable
