The Role:
The Project Support Officer provides direct support to the project team, and through consultation and stakeholder engagement, coordinates and contributes to the timely and accurate outcomes for the client.
Responsibilities may include but are not limited to:
- Acquire, maintain and apply a well-developed understanding of the legislative and the clients administrative policy frameworks, practices and procedures requirements in providing a high level of project administration, secretariat and business support.
- Accountable for managing the workflow and enquiries for the project, coordinating competing requests and demands, setting priorities, seeking clarification, escalating sensitive issues and proposing solutions to be considered.
- Assist, support and coordinate activities within the Division including, recruitment processes, expenditure against budget monitoring, work health and safety issues and IT requirements.
- Responsible to be the conduit between the Director and Project Manager and other areas within the Division; coordinating and facilitating responses for assigned actions, providing timely reminders and informing the Director and Project Manager of progress.
- Maintain and apply a well-developed understanding of the outcomes required, providing support for the preparation of meetings, including coordinating documentation, agendas, briefing notes, presentations, travel and venue arrangements.
- Liaise with internal and external stakeholders on policy, project, administration or operational issues to ensure the relevant information is available to the project team when required.
- Minimum 5 years’ experience as a Project Support Officer within a large organisation
- Proven experience in using MS Office Suite, including Project, Visio, Microsoft Teams
- Excellent verbal and written communication skills and ability to engage with numerous stakeholders via several means, e.g. workshop facilitation
- Proven Responsibility in coordinating meetings, agenda and minute preparation, and follow up on outstanding actions.
- Project Administration experince is highly desirable.
