Job description

We have an exciting opportunity for Quality Records Administrators who are seeking a position based in Dandenong with a Federal Government Department. This is a full time contract role commencing June 1st until July 2023, working Monday - Friday 8am-4pm

The Role:
The Quality Assurance Officer will be responsible for a range of functions including the following:
  • Work collaboratively and operate as an effective team member
  • Share information with the team and contribute to team discussions
  • Enter control metadata information into the Records Management System or the nominated Excel Spreadsheet
  • Change the custody of a record or file, or change its repository to reflect its new location
  • Labelling of archives boxes containing records or to put records/files into
  • Sentence records/files including assessing their content, assigning a disposal status
  • Dispose of records that are no longer required for business purposes and have been kept longer than required by applicable Records Authorities. The disposal process will include updating records’ control metadata and physically disposing of the records using appropriately marked and rated security containers
  • The wheeling of waste and records disposal bins/containers to different locations within the facility
  • Retrieval from shelves and archive boxes of records, and using trolleys to move them to another location in the facility for actioning
  • Re-shelving records after they have been accessed/actioned
  • Loading boxes of records onto or unloading them off pallets and trolleys
  • Packaging records/files for dispatching to other locations via the mail service and courier services
  • Adding barcodes to archive boxes containing records and updating the relevant metadata field in the controls for those boxes and where applicable the records in the boxes
  • Assist with loading boxes of records into trucks and vans
  • Opening and closing the facility including setting alarm in accordance with established procedures
About you:
Candidates must be able to demonstrate:
  • Excellent attention to detail, to assess the content and context of a record, and determine the most appropriate sentence to apply
  • Ability to undertake repetitious tasks, both manual and screen based. i.e.
  • Physically handling paper based files (a large file may contain 1000+ records)
  • Removing staples, pins, tape etc from Reference Material prior to scanning
  • Physically being able to retrieve files/boxes of files from shelves, place them on trolleys, move them to another location in the repository for actioning, and then returning them to shelves or elsewhere on site for further action
  • Physically being able to load boxes of records into and from a van
  • Intensive screen based data input and review. Coupled with repetitive data processing
  • Ability to sit for periods in a desk type situation and work flow between physical files, a computer terminal and a repository / archival area
  • Ability to closely follow a work instruction step by step each and every time
  • Ability to closely follow verbal instructions
