APS4 Executive Assistant
We are seeking an energetic and highly organised Executive Assistant to work with our government client based in Melbourne CBD. This role will be APS4 equivalent, working in a full-time capacity over a 12-month temporary contract.
 
As an Executive Assistant, you will assist the Board, Chair, and Board’s committees in their operations of strategic orientation of the organisation. The Executive Assistant provides administrative support to the small Melbourne-based teams across the department, ensuring the highest level of service is delivered to the office of the CEO.
 
The Role Requirements
Under general direction, the Executive Assistant will provide administrative and secretarial support to the Board, including:
  • Coordinating logistics for the Board and Committee meetings, events, travel, venue, bookings, and catering.
  • Providing onsite support to board meetings and events (requiring the position to travel)
  • Coordinating Board and Committee member diaries and correspondence, providing administrative support including provision of papers, forms, and addressing general support queries.
  • Coordinating member payments of the Board and Committee group.
  • Assisting coordination and providing logistics support for executive agency-wide events, meetings, and projects.
  • Providing general administrative support, supporting incoming enquiries.
About you
You will present with sound communication and proven experience offering executive level support, ideally within the APS.
 
In addition, you will display:
  • Client-focussed approach to interacting with a broad range of internal and external stakeholders.
  • Maintain high organisation and can multi-task as necessary, emphasising attention to detail
  • Flexibility in approaching tasks, displaying skills in re-prioritisation of work to achieve changing deadlines
  • Sound judgement and time management skills
  • Proven experience within administrative assistant/ support roles or demonstrated application of such skills.
  • Adaptability to quickly develop understanding of the corporate goals and vision of the department’s structure and internal processes
