About the client
Oversees the development of a high-speed rail network along the east coast of Australia. This includes providing policy and planning advice and recommendations to the Australian Government and undertaking research and evaluation in relation to the high-speed rail network and corridor along the east coast.

About the role
The EA duties will vary according to the needs of the CEO and GM. The EA is expected to have a very good knowledge of the Authority’s corporate strategy and future direction to manage priorities and assist in achieving the required outcomes. Although the following is not exhaustive, it is an expectation that the EA will be responsible for the following duties:

Duties
  • Supporting the CEO and GM to manage the day to day demands and lots of competing priorities, this includes acting as the first point of contact for the CEO and GM and providing high level of service to external parties.
  • Managing the office of the CEO and GM, including work schedules and all aspects associated with this, prioritising the Executive’s time, and drawing attention to matters of priority.
  • Managing all correspondence in and out of the office, including prioritising and monitoring to ensure that it is managed appropriately, and deadlines are met.
  • Working collaboratively as a key member of the Executive team and in partnership across business areas and staff to assist with the management and operations of the Authority.
  • Coordinating meetings with staff and stakeholders and ensuring the CEO and GM have all required information for meetings.
  • Arranging travel and accommodation for the CEO and GM, including reconciliation and maintenance of Executive travel and credit card accounts and related cost centres.
  • Supporting the CEO and GM with the coordination of ministerial and parliamentary requests as well as submissions and briefs.
  • Filing records in accordance with requirements for records management processes and security, including management and maintenance of document recording systems.
  • Providing secretariat support for meetings as required; and
  • Other duties as directed.
Skills and Capabilities
  • Knowledge and experience using SAP financial system and records management.
