Job description

Our client is seeking an experienced Document Control Officer to join the corporate Regulation & Compliance Team working in the Risk & Assurance Business Unit, supporting all activities related to CorDocs system.

Title: Document Control Officer (Technical)

Rate: Up to $57.00 per hour plus Superannuation (depending on relevant experience and suitability for role)

Preferred Start Date: ASAP
End Date: 11 October 2024
Type: Temporary casual contract (no leave entitlements - casual loading included in role)

Hours per week: Full-time – 38 hours per week
Location: Leederville, WA

What the role will involve:
  • Providing administrative and general support across the Business Unit and to external committee’s
  • Supporting the Management team with the coordination of Ministerial, board and executive papers, scheduling and diary management
  • Prepare, manage and administer day-to-day activities for the Head of Business Unit, this may include travel arrangements, invoicing, purchase orders and stationery.
  • Liaise and coordinate information with external and internal key Business Unit stakeholders and committees as required
Key skills and experience:
  • Previous experience with Corporate Document Management Systems
  • Ability to organise priorities and outcomes to balance immediate and longer-term outcomes
  • Excellent communication skills, a good negotiator who is able to influence key stakeholders
Key Accountabilities
Organisation   
  • Assists the Regulation & Compliance Team to gather and analyse data and background information, mainly concentrating on CorDocs compliance reporting.    
  • Provide analytical support for CorDocs data.    
  • Maintain and deliver CorDocs training program.    
  • Engage with our stakeholders to identify their requirements and levels of customer satisfaction.    
  • Provide a range of support functions to the Regulation and Compliance Team, including preparation of PowerPoint presentations and Excel spreadsheets.    
  • Provide Ad Hoc Assistance to other teams within Risk and Assurance Branch
Document Management
  • Register and maintain key corporate documents in Aqua and CorDocs.   
  • Identify and record all meta-data associated with the documentation to allow for data searches.    
  • Maintain Compliance Team’s CorDocs documentation.    
  • Participate in project teams investigating system integration and applications associated with document management.
Business Management System
  • Provide CorDocs Support to stakeholders.    
  • Promote CorDocs as a compliance tool.     
  • Analyse the outcomes of third party audits including follow up actions as required.    
  • Consult with Corporation staff on system improvement and integration needs and options.   
  • Recommend and implement system improvements as required.    
  • Support continuous improvement of CorDocs.
Essential Appointment Criteria
Qualifications and Experience
  • Tertiary qualification in business or similar; or significant progress towards one. 
  • Substantial computer application skills, including MS Word, Excel and PowerPoint.    
  • Substantial experience with Corporate Document Management System (AQUA).    
  • Considerable business writing skills.    
  • Considerable level of customer orientation and service ethic.
