The Role:

Our client is seeking an Executive Assistant to join their Regulatory Operations Division. This role encompasses a wide range of responsibilities, including providing high level executive and administrative support, managing and coordinating diaries and correspondence, preparing and organising papers in advance of meetings, as well as managing some research and analysis activities.

Responsibilities will include but are not limited to:

  • Provide high-level executive and administrative support for two Senior Executive Services Officers (SES Band 2 and/or 1).
  • Manage and coordinate diaries and correspondence to ensure efficient scheduling and communication.
  • Prepare and organise papers in advance of meetings to facilitate smooth and productive discussions.
  • Manage travel arrangements, including booking flights, accommodation, and transportation.
  • Assist with financial management activities, such as budgeting, expense tracking, and financial reporting.
  • Coordinate, report, and maintain files and records to ensure accurate and up-to-date documentation.
  • Ensure effective workflow management by prioritising tasks and managing deadlines.
  • Make solid decisions based on a clear understanding of the goals, values, and needs of the Regulatory Operations Division.
  • Exhibit excellent written and verbal communication skills to interact professionally with internal and external stakeholders.
Ideal Candidate will have:
  • Demonstrated experience (as a contractor or APS) supporting Senior Executives of a government (state or federal) agency in a similar role.
  • Experience using office software such as Expense8, SharePoint, MS Teams.
  • Highly motivated with exceptional organisational skills and a flair for communication.
  • Proven ability to provide a range of administration, corporate, and executive support activities.
  • Strong research and analysis skills to manage various tasks effectively.
  • Excellent written and verbal communication skills to interact with a range of internal and external stakeholders.
  • Ability to promote, model, and uphold the APS Values, demonstrating commitment to public service integrity.
  • Reliable, resilient, and able to work in a fast-paced environment with changing priorities.
  • Exceptional attention to detail and excellent interpersonal skills.
  • Ability to develop and maintain effective working relationships with a wide range of stakeholders.
