Job description

DFP Recruitment is currently seeking an experienced Legal Administration Assistant to join a well-established legal firm based in Clare for a full-time temporary position of duration approximately four weeks. This role provides high-level administrative support to legal professionals across a range of legal and conveyancing matters, while contributing to continuous improvement and excellent client service.

This opportunity would suit a proactive and detail-oriented administrator who enjoys working in a fast-paced, client-focused environment.

Key responsibilities
  • Provide administrative support to lawyers and conveyancers across estates, estate planning, property and conveyancing matters.
  • Draft and format legal documents and correspondence, including dictation typing.
  • Manage client enquiries via phone and email, including accurate message taking and calendar management.
  • Prepare briefs, scanning, copying, e-filing and archiving of documents.
  • Conduct conflict checks, online searches and assist with Verifications of Identity.
  • Assist with trust account processes, end-of-month statements and credit card reimbursements.
  • Create and manage PEXA and Revenue SA workspaces for conveyancing matters.
  • Open, maintain and close client files, ensuring accurate data entry.
  • Support billing processes to ensure timelines are met.
  • Order stationery and office supplies as required.
  • Identify opportunities for process improvement and support continuous improvement initiatives.
  • Provide general administrative support and assist with ad hoc tasks as required.
Skills and experience
  • Previous experience in a legal or fast-paced professional services environment.
  • Strong attention to detail and high level of accuracy.
  • Excellent written and verbal communication skills.
  • Strong organisational skills with the ability to manage competing priorities.
  • Professional and confidential approach to sensitive information.
  • Demonstrated ability to work collaboratively as part of a team.
  • Proactive mindset with the ability to use initiative and problem-solve.
  • Intermediate Microsoft Office skills; experience with legal practice management systems desirable.
