Job description

We are seeking APS5 Support Policy Officers for a Federal Government department for. This contract is up to 12 months, which includes paid leave and 15.4% superannuation and is located in Greenway ACT.

The APS5 Support Policy Officers are responsible for assisting in the management and implementation of the wide range of responsibilities of IDM Support. This role is telephony and administrative. You will be interacting with applicants and/or their nominees to support the progression of applications, including requesting additional information, advising on the progress of applications and other communication as required. Administrative duties include allocating matters to IDM's in line with COI (Conflict of Interest) controls, coordinating requests from the IDM, assist in IDM quality assurance, coordination of applications through to finalisation, and gathering a range of reportable data streams.
 
Under limited direction, you are accountable for organising your workflow and escalating risks and issues when needed. You will have exposure to sensitive material and may have exposure to difficult issues that could require liaising with a range of internal stakeholders.
 
The duties include the following:
  • Make and receive phone calls with applicants and/or their nominees to request additional information and support the progression of applications.
  • Communicate confidently through written and verbal communication and present messages in a clear, concise and articulate way;
  • Develop and maintain stakeholder relationships;
  • Keep accurate and comprehensive records (including report writing, case notes, and official records)
  • Conduct detailed research and analysis; prepare complex requests for information.
  • Conduct regular audits of workload using resources such as Case Manager, Excel and SharePoint;
  • Assist the APS 6 in allocating applications to IDMs in line with established COI controls;
  • Engage with IDM's on minor administrative matters;
  • Triage, coordinate and resolve matters raised to IDM support via mailbox management and meetings;
  • Provide quality control and quality assurance on applications for redress and check the work quality of others;
  • Apply legislation, policies, procedures and information management requirements;
  • Demonstrate self-awareness and ability to self-manage in a complex, changing environment whilst in a diverse team with high workload in a high risk environment;
  • Ability to prioritise workloads tasks and meet deadlines;
  • Strong attention to detail;
  • Demonstrates high emotional intelligence.
Applicants are required to hold Australian Citizenship at time of application and hold a Baseline security clearance. Candidates who do not currently hold a Baseline must be able to obtain and maintain this level of clearance.
