Job Title: Administration Officer
Employer: DFP Recruitment Client
Position Type: 4 week Casual Temporary Contract - 9th September to 4th October 2024
Pay Rate: $35-$45 per hour + Super
Location: Perth, WA 6000
Role Overview: In this role, you will manage executive schedules and meetings, organize and maintain documents with HPE Records Manager (TRIM), track communications and tasks in SmartSheet and handle correspondence.
Key Responsibilities:
• Schedule and manage appointments, meetings, and events for executives using Outlook.
• Coordinate and prioritize executive calendars to ensure efficient time management.
• Organize, classify, and maintain electronic and physical documents using HPE Records Manager (TRIM).
• Ensure all documents are accurately filed and easily retrievable for future reference.
• Monitor incoming and outgoing correspondence to ensure timely responses and follow-ups.
• Utilize SmartSheet to log, track, and update the status of communications and tasks.
• Review and edit correspondence to ensure clarity, accuracy, and professionalism.
• Create and update an actions list in SmartSheet to track tasks and responsibilities.
• Generate reports and summaries of action items to keep stakeholders informed.
• Assist with day-to-day administrative tasks such as filing, data entry, and office management.
• Support the preparation of presentations, reports, and other business documents.
• Coordinate logistics for meetings, including booking venues, arranging catering, and preparing materials.
• Act as a point of contact for internal and external inquiries, providing information and assistance as needed.
Essential to be successful in this role:
• Diary Management,
• Experience working with Government agencies,
• Familiarity with TRIM,
• Proficient writing skills for Government communication,
• Ability to work effectively under pressure.
