Job description

We are seeking an experienced APS4 Executive Assistant to join a Federal Government department on a 12 month non-ongoing contract, located in the city.

You will be responsible for the delivery of timely, efficient and effective high level administration and executive support. You will manage front-of-office functions in a complex and high volume environment, including managing diaries, workflow, appointments and correspondence, organising events, coordinating travel and collating documentation.

Executive Support Officer Responsibilities:
 
 
Duties are to be performed under the broad direction of your manager and in accordance with the APS Code of Conduct and APS Values, as well as upholding the Office values of independence, impartiality, integrity, accessibility and professionalism. In doing this you will support the Office through:
  • Providing responsive and efficient administrative support services to senior executives.
  • Managing senior executive diaries, organising and coordinating meetings and functions and booking travel.
  • Providing secretariat support to a range of committees, including drafting agendas, drafting minutes and coordinating the preparation and distribution of agenda papers.
  • Liaising effectively and professionally with other senior staff, internal and external stakeholders and clients.
  • Coordinating responses to enquiries, including drafting correspondence.
  • As part of a small executive support area, proactively drive the efficient and effective operations of the office.
Required skills and attributes:
  • Ability to work well with others and build coalitions to deliver results, including the ability to work with a diverse range of stakeholders on complex, complicated and often time critical matters
  • Excellent Organisational skills including the ability to plan and manage time effectively despite often competing demands
  • Strong communication skills including orally and in writing, in addition to strong listening skills
  • Ability to show initiative and work autonomously, or as a part of a small team, to deliver results
 
This role will require a Baseline security clearance and the ability to obtain the higher level.
