Job description

As an Assistant Commercial and Quality Services Coordinator, you will coordinate reinstatements, completions, reporting, invoicing, contract claims, and audits; support documentation, risk assessments, quality actions, and improvements; and provide administrative support, facilitate communication, conduct asset audits, and organize meetings.

Key responsibilities:
  • Assisted with Local government reinstatements, practical completion coordination, and low-value requests, liaising with stakeholders and project managers.
  • Support reporting, prepare and submit invoicing, and coded invoices to the internal system.
  • Coordinate contract claims, maintain payment and verification records, and follow up on audit findings.
  • Ensure compliance with contract requirements, drafted letters for sign-off, and sent communications.
  • Assist in preparing, reviewing, and updating procedure documents, and support risk assessment meetings.
  • Track and implement quality management actions, ensuring documentation and follow-up.
  • Recommend and assist in implementing system and process enhancements, and track project handovers and updates.
  • Provide administrative support, maintain accurate documentation, facilitate communication across teams, and assist with ad-hoc tasks.
  • Complete quarterly fixed asset audits and schedule, coordinate, and document project meetings.
Experience and skills:
  • Expertise in planning and organizing tasks, managing financial operations including accounts receivable, and ensuring efficient workflow and resource allocation.
  • Intermediate skills in Microsoft Word, Excel, and Access, capable of creating and managing documents, spreadsheets, and databases to support business operations.
  • Strong verbal and written communication skills, able to convey information clearly and professionally, facilitate discussions, and produce well-structured reports and correspondence.
This is a 6 month temp contract with a view to extension, required start date will be the end of July, candidates must be available to work full time hours.
