Job description

Document and Data Coordinator - State Government Contract
Location: East Perth, WA
Rate: $40-$45 per hour +super
Hours: Full-time (37.5 hours per week)
Duration: 6-month contract (temporary, casual loading included, no leave entitlements)

In this role you will be responsible for managing, organizing, and maintaining an organization's documents and data. This role involves ensuring that all documents are accurately filed, easily accessible, and securely stored.

Key Responsibilities:
Document Control & Management:
  • Manage and maintain engineering documents, drawings, and metadata within ProjectWise, ensuring compliance with EIM governance, naming conventions, and metadata standards.
  • Assist with document reviews, approvals, and transmittals for project teams, support stakeholders by organizing, classifying, and applying metadata to documents, and provide basic document access support, including permissions management.
  • Conduct quality checks on documents to ensure compliance with established standards.
Data Coordination & Migration (Supporting Role)
  • Assist with data validation and metadata updates for project records.
  • Support basic reporting on document completeness, compliance, and workflows, and work with Excel and ProjectWise reports to track and organize project documentation.
  • Assist in the preparation and migration of project data into EIM.
General Support & Process Improvement
  • Assist in training project team members on document control.
  • Provide first-level support for users encountering document-related issues in ProjectWise.
  • Contribute to ad hoc data-related tasks that support project documentation needs.
Required skills and knowledge:
  • Experience in document control within engineering, construction, or infrastructure projects.
  • Familiarity with ProjectWise or other Document Management Systems (DMS).
  • Basic Excel skills for metadata tracking and reporting.
Desirable:
  • Strong attention to detail and ability to ensure document accuracy and compliance.
  • Good communication & stakeholder engagement skills to assist project teams.
