DFP Recruitment are looking for an experienced Executive Assistant to join our client within a Government Department within the Health Sector. This position will be based in East Perth. The role is working full time initially up until December 2022 with view of extension.
About the Role
As an Executive Assistant you will provide administrative support to the director and executive team to support the overall running of the office and success of the organisation.
Responsibilities may include but are not limited to:
• Undertakes research, administrative and secretarial duties for the Information and System Performance directorate, including records management, routine correspondence, meeting and event coordination.
• Arranges and maintains diary appointments and meetings for the Director.
• Manages and prioritises incoming and outgoing correspondence, including phone calls, emails and mail.
• Undertakes research and projects of defined scope as directed.
• Prepares documentation, meeting agendas and minutes, briefings notes and other correspondence to a high standard of accuracy and presentation for the executive team as required.
• Develops, implements and maintains efficient and effective record keeping and information systems for the executive team and business units.
• Prepares itineraries and arranges travel bookings as required.
• Assists in the provision of HR support to the directorate, including processing HR forms and support with recruitment processes.
• Complete routine financial transactions and purchasing services, ensuring compliance with department standards and procedures.
• Builds and maintains working relationships with key internal and external stakeholders.
• Liaises with other Directorates, Divisions, Health Service Providers, and external agencies in regard to the acquisition and provision of relevant data and information.
• Participates in and/or supports working parties and project teams involved with associated projects.
• Supports an environment of customer focus, excellence in delivery, high performance, and accountability within a team environment that values and recognises the contribution of all members.
• Complies with corporate policies and procedures and models expected behaviours aligned with both departmental and broader public sector Codes of Conduct and legislative requirements.
About you
• Experience in the provision of executive and administrative support.
• Excellent organisational and problem-solving skills with the ability to coordinate multiple activities and meet competing deadlines.
• Ability to work collaboratively in a team environment, with minimal supervision
• Effective interpersonal skills and experience dealing with senior executive staff.
• Good verbal and written communication skills.
