Job description

Are you a detail-oriented records professional with over 12 months of experience in a records management team? Do you have a solid understanding of records legislation and a commitment to high-quality service delivery? We are seeking a dedicated Records Management Officer to provide essential support across records, mail, messenger, document production, and archival functions.

About the Role

As a Archival and Records Management Officer, you will be responsible for delivering best practice records and document services within a State Government Department. Your duties will include mail and messenger services, managing records in compliance with legislative requirements, and supporting the production and archiving of legal documents.

Key Responsibilities

  • Provide records management advice and support in line with legislative and organisational requirements.
  • Apply the principles of the Public Records Act 2023 and recordkeeping standards to ensure compliance.
  • Prepare and archive inactive and legacy records for off-site storage or transfer to Queensland State Archives.
  • Enter and manage data using a computerised records management system.
  • Create archiving indexes and file closure checklists.
  • Assist with saving and managing documents in eDOCS, ensuring accurate file naming and metadata.
  • Support legal teams in organising and closing correspondence files.
  • Use a variety of systems including Elite 3E, Visual Files, BD, DM, RM Admin Tool, Objective Connect, and eBrief Ready.
  • Deliver excellent client service in accordance with departmental standards.
  • Perform manual handling duties in line with WH&S requirements.
About You
The ideal candidate will have:
  • At least 12 months of experience in a Records Management team.
  • Knowledge of the Public Records Act 2023 and practical experience applying recordkeeping standards.
  • Proficiency in eDOCS and Elite ERP systems.
  • A proactive attitude, attention to detail, and strong team collaboration skills.
