  • 12-month fixed term contract, view to possible perm
  • $90-110k package

The Role:

The Project Support Officer will work closely with the core Program Delivery Team to ensure successful delivery of projects and programs.  The role will work predominantly with the project teams to support successful delivery of strategic initiatives within the APAC portfolio for GIDS. This is a broad role, working with the leadership team and project teams to ensure the program is set up for success and continues to run smoothly throughout.   Additionally, the Project Support Officer is responsible for assisting in monitoring and tracking the project deliverables and outcomes.

Responsibilities may include but are not limited to:
  • Coordination and support for the Program Director and Project Managers across projects or program
  • Development and administration of project management governance documenting and artefacts including: scope statements, business cases, project initiation documents, benefit profiles, change requests, project schedules, flight plans, terms of reference, organizational charts, post-implementation reviews, lessons learned and end project reports
  • Monitoring, reconciliation and reporting of project financials including: project expenditure, budget forecasts, accruals, purchase orders, invoice processing, and expense claims
  • Management, monitoring and reporting of project control registers including: risks, issues, assumptions, dependencies, decisions, change requests and lessons learned
  • Preparation of comprehensive project management reporting including: project status reports, project board reports and presentations for senior management
  • Coordination and logistical support for project board meetings, team meetings, stand-ups, training and workshops including agenda and minute administration
  • Facilitation of risk, issue and dependency review meetings and business readiness assessment sessions
  • Vendor management and administration of procurement and contractual documenting
  • Stakeholder engagement and assistance with change management activities
  • Resource management activities, induction and onboarding of new staff
  • Project timesheet administration, analysis and reporting
  • Assist in recruitment activities such as preparing job descriptions, advertising roles and onboarding new project team members.
  • Support team engagement activities and cultural programs
The successful candidate will be able to demonstrate the following:
  • Experience working within technical and administration/operations projects
  • Proficient in relevant project management and support applications
  • Experienced in administration duties and Microsoft office
  • Excellent written and verbal communication skills
  • Strong time management with the ability to work in a fast-paced and ambiguous work environment
