The Office of the CEO (OCEO) enables the agency to achieve the effective delivery of its functions by providing the business infrastructure for the organisation. The OCEO delivers the following services: secretariat services to key committees including the Pricing Authority (Agency’s governing board) advisory committees and working groups, the delivery of legal, governance, finance, procurement, operational and executive services.
The Role:
The agency Secretariat manages the provision of secretariat services to the Pricing Authority and key committees and working groups and its related stakeholders.
The APS5 Secretariat Support Officer supports the Secretariat team in the delivery of secretariat services, to ensure section and agency goals are achieved.
Responsibilities will include but are not limited to:
- Managing administrative tasks to support secretariat service delivery for statutory bodies.
- Supporting the management of travel, accommodation arrangements and other meeting logistics.
- Providing administrative support to ministerial and parliamentary processes and requests.
- Identifying and implementing improved work practices for management of correspondence, documents, collation of material, data entry and maintenance of records.
- Managing committee and working group contact lists as well as membership details, as required.
- Providing general communication work including management of stakeholder distribution lists.
- Assisting in the management of multiple relationships with key stakeholders including jurisdictional representatives, industry groups and other agencies.
- Contributing to the management of the committee meeting calendar to ensure operational efficiencies are achieved.
- Monitoring the progress of projects that may arise in Secretariat and assist in the construction of project plans.
- Contributing to the development and implementation of secretariat policy and procedures.
- Assisting in the coordination of classification system documentation and processes.
- Ability to work autonomously and work collaboratively with team members
- Demonstrate ability to provide high level administrative support in a complex and fast paced environment.
- Demonstrate excellent written and verbal communication skills and including demonstrated ability to build and sustain positive relationships with internal and external stakeholders.
- A demonstrated ability to use initiative to plan, deliver, contribute, and identify influences that may impact on team and individual projects.
- Demonstrate excellent time management skills with the ability to establish clear plans and timeframes for project implementation.
- Demonstrate excellent attention to detail with the ability to produce work of a high quality and identify and implement improved work practice.
To be eligible it is essential that applicants hold Australian Citizenship and have the ability to obtain and maintain a national police check.
