DFP Recruitment Perth is seeking an experienced Senior Administrative Assistant to join our client’s team located in West Leederville next to two train stations for a temporary assignment.
Key Details:
- Assignment Dates: 04/11/2024 – 20/06/2025
- Hours: Monday to Friday, 8:00am – 4:30pm (flexible)
- Pay Rate: $40 - $45 per hour + super, based on experience (including casual loading)
- Executive Support: Assist the CEO and COO by managing schedules, booking meetings, arranging travel and accommodation, developing reports, and providing additional support as needed.
- Board Support: Prepare agendas and business papers, attend board meetings to take minutes, manage action items, and handle logistics, including catering and room arrangements.
- Administrative Support: Provide general administrative assistance to the Marketing & Communications Executive and Communications Coordinator, including document preparation, formatting, and system data entry
- Member Engagement & Events: Coordinate presentations, seminars, and key events for local governments, managing invites, logistics, and communication with stakeholders.
- Database & Publications Management: Maintain databases for e-newsletters, internal bulletins, and their website, ensuring accuracy and supporting members with website queries.
- Presentation & Report Preparation: Work with the design team to develop high-quality PowerPoint presentations, reports, and proposals, ensuring brand consistency and quality control.
- Previous Experience: Proven experience in a senior administrative role, providing executive support at a high level, preferably within a fast-paced corporate or government environment.
- Organizational Skills: Exceptional ability to manage multiple priorities, coordinate complex schedules, and maintain attention to detail in document preparation and meeting logistics.
- Communication & Interpersonal Skills: Strong verbal and written communication skills, with the ability to liaise professionally with senior executives, board members, and external stakeholders.
- Tech Proficiency: Competent in using Microsoft Office Suite (Word, Excel, PowerPoint), with experience in systems like Salesforce and OpenAir being highly regarded.
- Event & Meeting Coordination: Prior experience in managing event logistics, from booking venues and catering to handling travel arrangements and preparing board meeting materials.
- Team Player: Ability to work both independently and collaboratively, providing overflow admin support as required.
- Proof of employment history, including a letter from payroll confirming tenure at previous positions.
- A national police clearance.
- A financial background check.
