The Role:

Our client is seeking a Senior Executive Assistant EL1 to join their team. This role encompasses a wide range of responsibilities, including providing executive and administrative support, managing and coordinating diaries and correspondence, preparing and organising papers in advance of meetings, managing travel arrangements, assisting with financial management activities, coordinating reporting and maintaining appropriate files and records.

Responsibilities will include but are not limited to:

  • Manage the diary for maximum productivity and schedule meetings appropriately, including arranging meeting logistics as required.
  • Coordinate travel arrangements for the Client and other members of the leadership team as needed.
  • Capture and record actions, ideas, projects, and reference material from notes, meetings, emails and phone calls.
  • Assist with administrative functions, including payment of accounts, accruals and credit card reconciliations.
  • Updating databases and records management systems.
  • Event management for internal and external meetings, including taking and distributing detailed minutes with clear action items for staff/others as required.
  • Maintain financial records such as Expense8 and receipts.
 
You will have:
  • Prior experience (as a contractor or APS) working for a CEO equivalent of a government (state or federal) agency in a similar role.
  • Experience using office software such as Expense8, SharePoint, MS Teams.
  • Ability to perform more complex liaison, administration, coordination and organisational tasks in support of the Client.
  • Proven experience coordinating, collating and drafting regular reporting and communications
  • Ability to contribute new ideas and maximise the benefits of change, including the identification of opportunities to improve the efficiency of business processes.
  • Proven experience working collaboratively and effectively with a range of internal and external stakeholders.
