Job description

We are seeking a detail-oriented and proactive Project Administration Officer (AO4) to join our State Government client in their Kingaroy office.

This is a contract role for 8 weeks with the possibility to extend. At AO4 level this role is paying $59.16 p/h plus super.

This role provides essential administrative and project support to Supervisors and District teams, contributing to the effective delivery of infrastructure and maintenance programs.

Key Responsibilities:
  • Provide day-to-day administrative support to supervisors and program teams.
  • Create and maintain work orders and monitor progress in corporate systems.
  • Enter and manage project budgets, ensuring accurate forecasting and tracking.
  • Perform monthly billing tasks: review unbilled costs, investigate discrepancies, and prepare customer documentation.
  • Review and validate system data; prepare journals, credits, and update records as required.
  • Manage procurement processes: raise purchase requisitions, process payments, and resolve open purchase orders.
  • Validate contractor invoices through web portals and liaise with contractors to resolve inconsistencies.
  • Compile and maintain high-quality documentation and reports using Ellipse, Aurion, and Microsoft Office.
  • Attend project update meetings to ensure program data accuracy for customer reporting.
  • Identify and escalate financial performance issues and update system data accordingly.
  • Maintain project records in line with record management protocols.
  • Reconcile and close completed projects in a timely manner.
  • Support internal and external reporting and contribute to process improvement initiatives.
What We’re Looking For:
  • Experience in administrative or project support roles, ideally within a government or infrastructure environment.
  • Strong data entry, record keeping, and document preparation skills.
  • Proficiency in systems such as Ellipse, Aurion, Microsoft Office, and other corporate databases.
  • Sound understanding of billing, procurement, and financial reconciliation processes.
  • Ability to work independently and collaboratively within a team.
  • Strong attention to detail and a commitment to accuracy and deadlines.
