Job description

We are seeking an energetic and highly organised Executive Assistant to work with our government client based in Melbourne inner suburbs. This role will be APS4 equivalent, working in a full time capacity over a 12 month contract.
 
As an Executive Assistant, you will assist the manager in fulfilling their responsibilities by providing professional secretarial and administration services. You will have an ability to quickly gain knowledge of the work undertaken by the Agency in order to provide high level administrative support and anticipate the needs of your manager and other key staff within the office.
 
The Role Requirements
 
Under general direction, the Executive Assistant will provide administrative; secretarial and research support to the Manager including:
  • Completing operational and/or administrative tasks of moderate complexity or difficulty
  • Develop sound relationships with key internal and external stakeholders, whereby you may be required to provide advice within defined parameters relating to your area of responsibility
  • Management of emails and appointments, responding to changing priorities and timeframes
  • Preparation of replies to correspondence and handling/custody of confidential papers
  • Preparation of briefing material where required
  • Schedule meetings and the preparation of reports and documents relating to Committees and Projects of which the Manager is a member, sponsor or stakeholder
  • Undertake research and investigations for the Manager and prepare associated reports and correspondence
  • Organise and support official meetings, travel arrangements and official functions on behalf of the Manager, and other agency staff
  • Provide high level administrative support to the Manager on personnel and financial matters within the Agency

You will present as an articulate, resilient and self-assured professional who has proven experience in offering senior executive level support, ideally within an APS setting.
