Our Client is seeking a highly organised and proactive Executive Assistant (Level 3) to provide critical administrative, committee, and marketing support to the Executive Director and wider Division. About the Role:
As the Executive Assistant, you will play a central part in ensuring the smooth, efficient operation of the Division by delivering high‑quality executive, administrative, and committee support.
Key Responsibilities
Executive & Administrative Support
- Manage the Executive Director’s calendar, meetings, travel arrangements, and general public enquiries.
- Coordinate reports, correspondence, documents, and presentations, including Ministerial reporting.
- Organise meeting logistics: agendas, minutes, room bookings, notifications, and catering.
- Manage and submit receipts and support Directors and Senior Managers as required.
- Act as Executive Officer to the Board’s Strategic Marketing Committee.
- Develop agendas, manage papers (including approval workflows), upload documents to Diligent, take minutes, track attendance, book rooms, and arrange catering.
- Coordinate industry workshops in partnership with the Marketing Management Team.
- Assist with tracking and reporting on divisional KPIs, priorities, and commitments.
- Support marketing projects and lead the budget reconciliation process for all Marketing cost centres.
- Assist with third‑party supplier contracts, ensuring governance, value for money, and effective service delivery.
- Work collaboratively across the organisation and with external stakeholders to support divisional operations.
- Strong administrative experience with the ability to manage multiple projects and shifting priorities.
- Excellent interpersonal skills—confident, collaborative, and able to communicate effectively at all levels.
