The Role:
The Project Manager’s role is to support the Director, Aged Care Accommodation section to lead planning, requirements gathering, procurement, and project management for the section’s digital systems/database development and implementation.
You will be responsible for producing timely and high-quality procurement, contract, and project documentation that supports delegate decision-making throughout the development of a new database. Key deliverables include the creation of comprehensive project work plans and schedules, with a clear communication of delivery strategies, risk management, and monitoring approaches.
Additionally, you will also lead the development of policies, procedures, and educational resources—in close consultation with the Accommodation section—to ensure ongoing quality assurance for database development and the assessment of Refundable Accommodation Deposits (RADs). Your expertise will be relied upon to develop and present reports and papers detailing project progress to a range of stakeholders, including the Agency Executive.
Key responsibilities include:
- Lead the procurement of vendors/consultants, undertaking end-to-end procurement processes in line with Commonwealth government policies and requirements.
- Lead vendors/consultants to refine the Statement of Requirements (SOR) for a legacy database re-development.
- End-to-end management and co-ordination of the Accommodation section’s database development project including vendor contract management.
- Manage documentation and record-keeping of communications and project management artefacts, including risks, issues, actions, decisions and those related to procurement and contracts.
- Monitoring and tracking of project delivery, budget, escalations, and implementing corrective actions to ensure projects stay on track.
- Scheduling and chairing project meetings, meeting minutes, and following up actions.
- Collaborate with the Accommodation section, internal staff and vendors to develop digital and analytical solutions to support the organisation’s legislative remit.
- Proven IT project management and delivery experience.
- Skilled in end-to-end procurement processes.
- Strong research and analytical abilities for issue resolution.
- Excellent organisational and time management skills for multitasking in a fast-paced team.
- Effective leadership and ability to communicate objectives and priorities.
- Strategic thinker with expertise in assessing impacts, governance, compliance, risks, and benefits.
- Exceptional stakeholder management, negotiation, and communication skills for varied audiences.
- Ability to work independently with minimal supervision to achieve quality outcomes on time.
- Mandatory: IT project management experience
- Knowledge of project management methodologies required.
- Familiarity with the Australian Government’s procurement system and panels is highly desirable.
- Proven ability to deliver complex, high-risk projects on time and within scope and budget.
- Qualifications in project management, IT, health professions, health information management, public administration, social science, or related fields are advantageous.
