Administrative Assistant
6-Months | Fremantle, WA
$41.26 per hour (flat rate on all hours)
Full-time | Monday to Friday | 40 hours per week
Commencement: ASAP (short notice periods considered)
An opportunity is available for an experienced Administrative Assistant to our client based in Fremantle.
This role will suit a highly organised and proactive administrator who enjoys working in a fast-paced corporate environment, supporting divisional operations and contributing to strong business performance outcomes.
About the Role
Reporting to the Administration Supervisor, the Administrative Assistant provides corporate administrative support across allocated divisions, ensuring processes and performance outputs align with organisational business goals.
This position plays a key role in maintaining efficient divisional operations, supporting procurement processes, managing documentation systems and delivering professional reception services.

This position plays a key role in maintaining efficient divisional operations, supporting procurement processes, managing documentation systems and delivering professional reception services.
Key Responsibilities
- Provide efficient and effective administrative support to allocated divisions
- Act as the divisional Oracle procurement SME, raising and receipting purchase orders in collaboration with procurement and accounts payable teams
- Support internal and external stakeholder events, including coordinating venues, facilities, invitations and catering
- Assist with regular divisional reporting (e.g. dashboards, training completion rates)
- Provide document management support using Content Manager and SharePoint
- Support the Divisional Executive Assistant with ad hoc requests and divisional-specific tasks
- Coordinate training bookings and corporate equipment maintenance
- Provide reception coverage, including front counter customer service and answering incoming calls
- Manage visitor registrations, pool car calendars, passes and general administrative registers
- Proven experience providing customer service and administrative support
- Experience raising purchase orders (Oracle experience preferred)
- Strong written and verbal communication skills
- Well-developed interpersonal skills with the ability to liaise effectively at all levels
- Strong time management skills with the ability to manage competing deadlines and urgent requests
- High attention to detail and strong computer literacy
- Ability to work independently while contributing positively to team outcomes
- A commitment to ethical conduct, compliance and maintaining accurate records
