Job description

We are currently seeking a professional and proactive AO4 Executive Legal Assistant to join a high-performing legal support team within our State Government Client.
This role is ideal for someone who enjoys delivering executive-level legal secretarial and administrative support in a fast-paced and purpose-driven environment.

About the Role
In this position, you will provide confidential and timely assistance to a senior legal executive and legal team. You will be responsible for preparing and formatting legal documentation, managing diaries and meetings, supporting reporting and billing processes, and maintaining effective communication with internal and external stakeholders.

This role is being offered as a 6 month contract, with the possibility to extend and will be located in the Brisbane CBD.

Key Responsibilities
  • Deliver high-level secretarial and administrative support to a senior legal executive and team
  • Format complex legal documents using Microsoft Word, PowerPoint, and PDF tools
  • Draft routine correspondence, legal documents, and briefs
  • Coordinate diaries, meetings, agendas, minutes, and reporting
  • Support time recording, billing, and compliance with financial procedures
  • Maintain and update internal systems including Excel and VisualFiles
  • Prepare and review reports for accuracy and timely submission
  • Organise travel and accommodation as required
  • Maintain filing, bring-up systems, and document retrieval processes
  • Ensure compliance with procedures for legal expense payments and counsel fees
  • Liaise with internal and external stakeholders to uphold service standards
  • Undertake additional duties as required to support the legal team
About You
You are a detail-oriented and experienced legal assistant or paralegal with a strong background in executive support. You bring a professional approach, excellent organisational skills, and the ability to manage competing priorities with confidence.
