About our client 
The Enabling Services Branch of this Federal Government department is responsible for a large remit of functions including internal audit, risk management (including compliance), corporate performance, planning and reporting, committee Secretariat, information and records management, security and insurance arrangements.
 
About the role
As The Manager, Secretariat & Coordination you are part of The Governance team that sits within the Enabling Services Branch of Corporate Division. You’ll lead a small team to provide high-level support to the Agency and its Executive in the provision of strategic, professional and well-organised governance committee and sub-committee meetings; and coordination of parliamentary and ministerial requests.
 
The role is responsible for the application of sound governance frameworks for efficient and effective administration and operation of committee functions and coordination requests across the entity, such as Senate Estimates coordination.
 
Duties
Among other duties, successful candidates will:
  • Supervise a team to provide effective and efficient secretariat services. You will organise and manage all aspects of governance committee and sub-committees across the entity, including meeting logistics, the preparation of agendas, coordination of briefing papers and input from business areas, track action items, and write minutes to quality standards and within allocated timeframes.
  • Review, coordinate and communicate information to appropriate officials across the entity; establish priorities and manage competing deadlines.
  • Ensure appropriate governance arrangements are in place and observed, such as Terms of Reference, and contribute to the development and review of continuous improvement of Secretariat services and the broader coordinating functions.
About you 
  • Excellent communication skills and the ability to work closely with senior executives and key stakeholders.
  • Superior organisation and time-management skills, with the ability to remain flexible, in order to prioritise and complete a broad range of activities within a fast-paced and sometimes ambiguous environment to meet deadlines and achieve results.
  • Well-developed customer service skills and the proven ability to exercise sound judgement and resolve issues independently.
  • Experience at supervising a team and leading with a high degree of personal integrity and the ability to maintain confidentiality.
  • Demonstrated effective strategic planning, management and leadership, secretariat and coordination skill.
  • A high degree of personal integrity, honesty and the ability to maintain confidentiality.
To be considered for this non-ongoing role, you must have:
  • Hold a current NV1 Clearance (Baseline will be considered).
  • Australian Citizenship.
