Executive Assistant – Deputy Chief Executive Officer, Policy and Programs

We are seeking a dynamic and highly capable Executive Assistant (EA) to provide high-level executive and operational support to the Deputy Chief Executive Officer, Policy and Programs. This is an excellent opportunity for an experienced EA who thrives in a fast-paced government environment and enjoys working with senior leaders to achieve strategic outcomes.

In this role, you will be trusted to manage complex and sensitive matters, working with a high degree of autonomy and professionalism. You will proactively balance competing priorities, exercise sound judgement, and apply policies and procedures with confidence under limited direction.

As the Executive Assistant, you will be responsible for ensuring the DCEO is fully supported, informed and prepared to meet organisational priorities.

Your key responsibilities will include:
  • Managing the DCEO’s diary and inbox, escalating and prioritising matters as required in consultation with the DCEO and Executive Officer.
  • Coordinating domestic travel, including bookings, approvals and detailed itineraries.
  • Organising meetings on behalf of the DCEO, including scheduling, compiling agendas and distributing supporting material.
  • Providing quality assurance across a range of administrative approvals, ensuring compliance with corporate policies and processes.
  • Prioritising and overseeing task completion, undertaking analysis and strategic thinking in partnership with the Executive Officer.
  • Liaising effectively with internal and external stakeholders, including coordinating briefing requests to support DCEO meetings.
  • Proactively ensuring the DCEO is provided with high-quality briefings in advance of meetings and events.
  • Preparing and printing documents for review, streamlining workflows and improving administrative processes.
  • Communicating with influence and professionalism, particularly when engaging with SES officers.
  • Providing leadership to a team of Executive Assistants and, with the Executive Officer, coordinating leave coverage and resourcing across the group.
  • Maintaining strict confidentiality and safeguarding sensitive agency information at all times.
  • Delivering front-of-office support, including meeting room setup and welcoming visitors.
  • Working independently with minimal supervision, including providing remote support when the DCEO is travelling.

This role will be a fully onsite role and can be a contracted role, S26 Transfer or Non Ongoing
